JOB DESCRIPTIONS
Employee Engagement Support
- Assist in coordinating internal communications, including updates via platforms like Viva Engage.
- Help with planning and suggesting interactive programs for company events (e.g. festivals, well-being, diversity & inclusion).
- Support the preparation of presentation materials for events, announcements, and employee recognition.
- Support upkeeping of Employee Engagement Portal.
- Help compile and process financial documents such as quotations and invoices for payment procedures.
- Assist in collecting feedback and preparing simple reports for engagement activities.
- Provide logistical support for employee events (e.g. venue booking, materials, refreshments).
Training & Development Support
- Assist with logistics for mandatory and optional training sessions (e.g. scheduling, materials, attendance).
- Help coordinate updates to the quarterly training calendar and training portal.
- Support the upkeep of training records and assist in generating basic reports.
- Help monitor and maintain the training portal.
- Assist in sourcing external training options based on management input.
- Support the HRDF submission and claims process under guidance.
- Help follow up on training attendance and feedback collection.
- Coordinate with trainers and vendors for training-related arrangements.
HR Administrative Support
- Help coordinate onboarding activities for new joiners, including orientation logistics and welcome kits.
- Assist in maintaining shared drives and organizing HR documents.
- Help with updates and basic maintenance of the HR portal.
- Provide general support for ad-hoc HR initiatives and projects.
- Assist in preparing HR templates and simple reports as needed.
- Help with coordination of exit interviews and offboarding documentation.
General HR Operations Support
- Assist in maintaining employee records and ensuring data accuracy.
- Help with internal audits and compliance checks related to HR documentation.
- Support tracking of contract renewals, probation reviews, and confirmations.
- Assist in preparing HR communications and announcements.
- Help with organizing HR briefings or town halls.
WHAT WE’RE LOOKING FOR
- Currently pursuing a degree in Human Resources, Business Administration, Mass Communication or a related field.
- Excellent verbal and written communication abilities, with a creative approach in drafting communications.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to stay organized and manage tasks effectively, even while learning on the job.
- A positive attitude and a willingness to learn.
